Import and export documentation

Required documents depend on the product, shipment, origin and destination. Support begins by checking what the importer, customs authority and relevant product regulator actually require, rather than applying the same document package to every trade route.

Preparing and obtaining records

  • Certificates of analysis or batch-quality records
  • Composition statements and ingredient information
  • Safety data sheets where applicable
  • Manufacturing or GMP documentation when requested
  • Certificates of free sale from an appropriate issuing body
  • Translations, notarization or legalization where required

Service providers may coordinate documents but cannot necessarily issue official certificates themselves. Source records should remain traceable, and translations must preserve the technical meaning.

Customs and market-access boundaries

Commercial invoices, packing lists and customs declarations may require coordination with the exporter, importer or broker. Product notification, listing or registration is a separate regulatory obligation even when evidence of it is requested for import.

EU CPNP notification is not a customs certificate, and China’s requirements depend on category and route rather than a universal animal-testing waiver. The deliverable should distinguish documents prepared, official records obtained and actions still assigned to other parties. Complete paperwork supports clearance but does not guarantee it or eliminate inspection and processing delays.

Applications

Applications of cosmetic trade documentation support

Preparing a route-specific package

Source records may include batch-quality information, composition statements, applicable safety data and manufacturing records. Certificates of free sale, translations or legalization depend on the authority and destination. A support provider cannot necessarily issue every official document.

Coordinating responsibilities

Invoices, packing lists and customs declarations may need the exporter, importer or broker. EU CPNP notification is not a customs certificate, and FDA Prior Notice is a food-import requirement rather than a general cosmetic form. Complete records do not guarantee clearance, a fixed processing time or avoidance of inspection.
